The De La Salle–College of Saint Benilde Alumni Association (“Benilde Alumni Association,” “Association,” “we,” “our,” or “us”) values and respects your right to privacy. We are committed to protecting your personal data and ensuring that it is processed in a lawful, fair, secure, and transparent manner, in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173). and its implementing rules and regulations.

This Privacy Notice explains how we collect, use, store, share, retain, and protect your personal data as a member of the Benilde alumni community.

1. Who is covered by this Notice

For purposes of this notice, "alumnus/alumna/alumni" refers to any former student or graduate of De La Salle–College of Saint Benilde. Membership in the Benilde alumni community is recognized upon completion of a course or program in the College.

Alumni Engagement and Relationship Information

• Attendance in alumni or College events
• Participation in reunions, homecomings, volunteer work, service projects, mentoring, and career talks
• Other interactions with the Association or the College

Donation and Support Information

Where applicable and permitted by law, we may process:

Your personal data may be used for legitimate and lawful purposes connected with alumni relations, institutional engagement, and community building, including but not limited to:

• Maintaining and updating alumni records and databases
• Keeping you informed about alumni programs, College developments, events, reunions, homecomings, awards, and other activities
• Sending newsletters, announcements, surveys, invitations, and official communications
• Facilitating alumni services, benefits, and engagement opportunities
• Inviting you to volunteer, mentor, speak, collaborate, or participate in service and academic initiatives
• Recognizing alumni achievements and milestones
• Supporting institutional development, alumni relations, and fundraising activities
• Determining possible interest in donation campaigns, sponsorships, or support initiatives
• Promoting alumni-related and College-related programs, services, or opportunities that may be relevant to you
• Conducting alumni research, institutional studies, and strategic engagement planning

Where required by law, or when the purpose is not covered by legitimate interest or another lawful criterion for processing, we will obtain your consent before processing your personal data.

We process your personal data on the basis of one or more of the following lawful criteria, as applicable:

• The legitimate interests of the Association and the College, provided such interests do not override your fundamental rights and freedoms
• Compliance with legal obligations
• Fulfillment of institutional, administrative, or archival purposes consistent with applicable law

Your personal data may be collected from:

• Information you directly provide to the Association or the College
• Alumni forms, membership forms, event registration forms, surveys, and updates submitted by you
• Official College records lawfully shared with the Association for alumni relations purposes
• Your participation in events, programs, activities, and engagements
• Publicly available sources, where appropriate and lawful

6. Sharing of personal data

Your personal data may be shared only on a need-to-know basis and only for legitimate purposes.

We may share your data with:

• Authorized offices, units, and personnel of De La Salle–College of Saint Benilde involved in alumni relations, events, communications, institutional advancement, and related services
• Service providers or partners engaged by the Association or the College, subject to appropriate data protection safeguards and confidentiality obligations

We do not sell your personal data to third parties.

As a general rule, your personal data will not be disclosed to external parties without your consent, unless such disclosure is allowed or required under applicable law.

• Right to access – to request access to the personal data we hold about you
• Right to object – to object to certain types of processing, subject to legal limitations
• Right to rectification – to correct inaccurate, incomplete, outdated, false, or unlawfully obtained personal data
• Right to erasure or blocking – to suspend, withdraw, or request deletion of certain personal data, subject to lawful grounds and retention requirements
• Right to data portability – to obtain and electronically move, copy, or transfer your personal data in a secure manner, where applicable
• Right to damages – to be indemnified for damages sustained due to inaccurate, incomplete, outdated, false, unlawfully obtained, or unauthorized use of personal data
• Right to file a complaint – to lodge a complaint with the National Privacy Commission or the appropriate office if you believe your rights have been violated

8. Data retention

We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, to comply with legal and regulatory requirements, and to preserve legitimate institutional and archival records.

Certain core alumni information, such as your name, course, and record of attendance at the College, may be retained as part of the Association’s and the College’s historical and archival records, even if certain contact or engagement information is updated, restricted, or deleted, where allowed by law.

When personal data is no longer necessary for the purposes for which it was collected, it will be securely disposed of or anonymized, as appropriate.

9. How we protect your personal data

We maintain appropriate administrative, physical, and technical safeguards to protect your personal data against accidental or unlawful destruction, alteration, disclosure, misuse, unauthorized access, and other unlawful processing.

Your information may be stored in electronic, digital, and paper-based systems and is accessible only to authorized personnel who are bound by confidentiality and data protection obligations.

10. Access, correction, blocking, or deletion requests

You may request access to your personal data, or ask that inaccurate or outdated information be corrected, blocked, or deleted, subject to applicable legal and institutional retention requirements.

While the Association takes reasonable steps to maintain accurate records, you are likewise encouraged to keep your information current and to promptly inform us of any updates or corrections.

Requests may be submitted in writing to the appropriate Benilde office or to the Data Protection Officer.

11. Data breach management

A personal data breach refers to any accidental or unlawful destruction, loss, alteration, unauthorized disclosure of, or access to, personal data transmitted, stored, or otherwise processed.

In the event of a personal data breach, the Association and the College will take appropriate steps to contain, assess, document, and address the incident in accordance with applicable law and internal protocols. Where required, affected individuals and the appropriate regulatory authorities will be notified within the period prescribed by law.

If you believe that your personal data has been compromised or improperly processed, you may immediately report the matter to the College’s Data Protection Officer.

12. Changes to this Privacy Notice

The Association reserves the right to amend or update this Privacy Notice from time to time to reflect operational, legal, regulatory, or institutional changes. Any material updates will be communicated through official Association or College channels, such as the official website, email, or other appropriate means.
